Campus Description: Stony Brook University, home to many highly ranked graduate research programs, is located 60 miles from New York City on Long Island's scenic North Shore. Our 1,100-acre campus is home to 24,000 undergraduate, graduate, and doctoral students and more than 13,500 faculty and staff. The University is a member of the prestigious Association of American Universities and co-manager of nearby Brookhaven National Laboratory, a multidisciplinary research laboratory supporting world class scientific programs utilizing state-of-the-art facilities. Stony Brook Medicine is Suffolk County's only academic medical center and tertiary care provider. Many opportunities exist for collaborative research, and in some cases, joint appointments with BNL or with Medical School departments.

Required Qualifications: Associate's degree. In lieu of degree, two years of full time, directly related experience or a combination of higher education and experience totaling two years may be considered. Knowledge of academic library operations and policies. Demonstrated knowledge of photocopying, scanning, and Blackboard System (or a comparable course management system). Familiarity with technology. Demonstrated record of ongoing professional development and contribution, ability to take initiative, prioritize and meet deadlines. Strong organization, customer service, interpersonal and communication skills. Ability to work both independently and collegially in a demanding and rapidly changing environment.
 

Preferred Qualifications: Familiarity with Reserves Processing. Demonstrated knowledge of Aleph or equivalent.

Brief Description of Duties: The Instructional Support Assistant will be accountable for independently carrying out the necessary responsibilities of any assigned areas as well as resolving problems within those areas. The selected candidate should seek advice and guidance from the Assistant Department Head and Department Head as necessary.

  • Daily operations of the Reserve Service of the Circulation Department. The Instructional Support Assistant, along with the Reserves Supervisor, will assume responsibility for all aspects of Course Reserves processing. This includes: communication with teaching faculty for requesting material for Reserve; processing items in ALEPH; enforcing copyright policy; ordering books/videos and/or reprints and obtaining copyright permission when necessary; assisting faculty with placement of material on Electronic Reserves; scanning for Electronic Reserves; and maintaining statistics and resolving issues as they arise concerning all functions of Reserve services.
  • Participate in tasks and projects in Circulation Services. Assist at Circulation Desk as necessary. Understand and interpret Circulation policies and procedures. Assist with all aspects of Circulation Services including checking in/out material, sorting, shelving, shifting of collections, searching for missing items, placing holds/recalls, stacks maintenance, creation and maintenance of patron credential records, assisting Head and Assistant Heads of the Department on projects as needed.
  • Assist with daily billing operations. Develop a thorough working knowledge of all aspects of billing, including use of the online circulation system. In the absence of the Billing Supervisor or Assistant Heads of Department, this person will be responsible for meeting with patrons to resolve billing complaints, questions, or issues. Responsibilities may include communication with patrons by phone, mail, or email. Accuracy and attention to detail are key components.
  • Lifelong Learning: Attend training workshops, lectures, and/or classes. Keep abreast of any developments in the field. Read professional journals, blogs, sites, etc.

Special Notes: This is a full time appointment, Monday through Friday, 8:30 a.m. to 5:00 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Some evenings and weekend work may be required.
